Start with the problem, not the feature list
Every CAFM system has a jobs register, PPM planning and an engineer app. That is the baseline. What separates them is how well they fit the way your company actually works.
Before you look at software, write down where the record of your work lives today. The inbox, the spreadsheet, the van, the WhatsApp group. The right system is the one that pulls those into one place with the least effort.
Five things to check
- The real price. Is it published? Are there tiers, modules or add-ons? Do subcontractor and client logins cost extra?
- Setup. Who does it, how long does it take, and is there a fee?
- How jobs get in. If most of your work arrives by email, how much retyping is left?
- Engineers. Will your engineers actually use it on the phones they already have?
- Leaving. Can you export everything, whenever you want, without asking?

Questions to ask in every demo
- What will I pay in year one, all in, for my number of people?
- Which features are not in the plan you are showing me?
- Do my subcontractors and clients need paid logins?
- How long until my team is using it on real jobs?
- If I leave, how do I get all of my data, and how long does it take?
